Privacy Policy

The Canada Vietnam Cultural & Educational Council (CVCEC) respects your privacy. This policy explains what personal information we collect, how we use it and the choices you have. We follow the principles of Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA).

Information we collect

  • Contact forms and emails: your name, email address and message.
  • Program sign-ups: contact details and information needed to run a program, such as a student’s grade or interests.
  • School application support: documents a family chooses to send us when they ask us to help submit a school application.
  • Photos and videos taken at our events and programs.
  • Website use: our website provider may use cookies to keep the site working and to measure visits in aggregate.

How we use it

We use personal information only to answer your questions, run our programs, support applications you ask us to help with, share program updates you have agreed to receive, and improve our services.

Consent and young people

We collect personal information with your consent. For participants under 18, we ask a parent or guardian for consent. You may withdraw your consent at any time.

Photos and media

We ask for consent before publishing photos or videos in which a child or young person can be identified, and we ask parents or guardians for consent for participants under 18. If you would like a photo of you or your child removed from our website or social media, email us and we will remove it.

When we share information

We do not sell or rent personal information. We share it only:

  • with a school board or school, when a family asks us to submit an application on their behalf;
  • with service providers that host our website and email, who must protect it;
  • when required by Canadian law.

We do not share the personal information of students or families with any government body, except where required by Canadian law.

Storage and security

We take reasonable steps to protect personal information, and access is limited to team members who need it. Some of our service providers may store information outside Canada, where it is protected by their security measures and subject to local laws.

How long we keep it

We keep personal information only as long as needed for the purpose it was collected, or as required by law, and then delete it securely.

Your rights

You can ask to see, correct or delete the personal information we hold about you. Contact our Privacy Officer, Phan Thị Quỳnh Trang, at contact@cvcec.org. If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada.

Changes to this policy

We may update this policy from time to time. The date at the top shows when it was last updated.
